You can further optimize purchase orders, which were created manually or with the help of Purchase Order Suggestions wizard, according to purchasing conditions that you negotiated with your suppliers.

By checking the status of purchasing conditions, you might realize that you can get a big discount if you reach the next block price. By adding some more items to a purchase order, you can actually save some money.

Status of purchasing conditions for a purchase order

Open a purchase order to check the status of the purchasing conditions. With your mouse hover over the information icon in the title of a purchase order object to view the status of the purchasing conditions. When one or more purchasing conditions aren't reached, the icon is red.

Status is shown for the following purchasing conditions:

• Minimum order amount

• Freight costs

• Block prices

In the information icon status of the specific purchasing condition is displayed with:

• Red error icon when purchasing condition is not reached,

• Black information icon when purchasing condition is reached or not specified.

Red information icon is displayed also in the purchase orders list so you can quickly identify purchase orders which you can optimize.

Automatic purchasing conditions for a purchase order

Purchasing conditions for purchase orders are always checked by pixi* and are also applied automatically if reached. The following conditions are applied:

• Minimum order amount:

  • If Minimum order amount > Order lines total, then Minimum order amount surcharge is added.

  • If Minimum order amount <= Order lines total, then Minimum order amount surcharge = 0.

• Freight costs:

  • If Free of Freight limit > Order lines total, then Freight costs are added.

  • If Free of Freight limit <= Order lines total, then Freight costs = 0.

• Block Prices:

  • If a Block price amount <= Order lines total, then the Discount is deducted.

  
  

Manually applying purchasing conditions

You can also apply specific purchasing conditions manually for a purchase order if you enter custom values for these fields on a purchase order:

• Discount

• Free of freight limit

• Freight costs

• Minimum order amount

• Minimum order surcharge

Warning: Manually entered value for the discount has priority over the discount calculated by pixi* from block prices. Even if the automatically calculated discount from block prices is bigger then the manually entered discount, the manually entered discount will be used for the purchase order.

You can also apply purchasing conditions manually for items in a purchase order:

1. Select one or more order lines in the Order Lines list.

2. Click Purchasing Conditions in the toolbar.

3. Select the purchasing conditions you want to apply. If you select both Apply minimum order quantity and Apply packing unit, first the minimum order quantity is applied, then packing units.

4. Click OK.

Ordered quantity (Ordered Q) is increased if needed to meet the selected purchasing conditions. If the ordered quantity was modified, it is displayed in bold font until the purchase order is refreshed. Additional quantity is added to the selected delivery location for this order.
