Personalized Items

The Personalized Items module in pixi provides you with a functionality to produce (engrave, print, etc.) especially crafted or enhanced products for customers to be shipped via pixi and to be managed at a later stage.


Item Management

Personalized items must be tagged in pixi, and that's possible in only one step: by adding the Personalized Item tag. Read up on: Add or remove item tags.

Adding the TAG enables the corresponding functions in pixi Customer Service.


Production

There is a separate report available for production. This report lists all items that have the Personalized Item Tag assigned, that have the status ANG and have never had the status ON. The report is filtered by the date the order went active and contains the item, the personalization text and also a personalized barcode. This way, you can create the items in production and use the barcodes from the printed report directly to label the articles.

The HAL field determines whether only paid orders or even unpaid orders (e.g. yet unpaid cash in advance orders) are going in production. Enter a 0 here to produce paid orders only, or a 1 to include unpaid orders into production as well.

Customer Service

In the "F7 Orders" tab, the barcode can be printed for a selected order via the button "Personalized Barcode". The personalization text for the order lines as well as for bundle components (expand the order line - column widths may have to be adjusted so that the column is displayed) is displayed in the field "Item Notes" and can be edited. Personalized items are additionally marked with an *asterisk.


Barcodes for personalized items can be printed in one of the following 3 supported formats:

  • [EAN]#[Order Line Key] - [Order line key] refers to the unique internal reference number that pixi generates for each order line. [EAN] is the normal barcode of the item as recorded in pixi. By default, barcodes are printed in this format.

  • [Order Line ID]$[EAN] - [Order line ID] refers to the unique ID of an order line that is transferred with the order import (Tag <LINE_ITEM_ID> in OPENtrans XML). [EAN] is the normal barcode of the item as recorded in pixi.

  • [EAN]&[Shop Order Number] - [Shop Order Number] refers to the external order number of the corresponding customer order. [EAN] is the normal barcode of the item as recorded in pixi.

The print format can be defined in the "Format of Personalized Barcodes" setting (pixi Control Center > Database Settings tab > Barcodes / EAN Settings folder). The Scan-In is possible in all three formats.


Inventory

Personalized items can't be put to stock the normal way. They are always scanned directly after production in the pixi Shipping application.


Shipping

The personalized barcode is scanned directly in the Scan-In tab in pixi Shipping or the pixi Web application. These items do not appear on the picklist and can therefore only be scanned without a picklist. The items are then directly assigned to the customer order.

The allocation of boxes at the Scan-In is another exception from the rule. Normally, those boxes are used that are lowest in their box number and available. When an item is scanned, and there is no available box for the corresponding order, the lowest available box is activated for this order. With personalized items we don't use the next available box with the lowest number, but the highest available box. Here is why: As mentioned above, personalized items can't be placed into inventory. If, for example, one personalized item is produced immediately, but a second item, which is also part of the order, is not yet available. In such a case, the box would be blocked until all other items are available.

This means that you can create a separate box range for personalized items with particularly high numbers, e.g. from 5000 upwards. These boxes are then not stored within the normal box range and thus represent a sort of storage location for all personalized items. The scanning of such an item corresponds here to placing an item into stock, without the normally used picking boxes being blocked.

Important Notes

  • Bundles should not be assigned the tag Personalized because the process in pixi does not provide for personalizing bundles, but the individual items of the bundle. However, you can assign personalized items to a bundle.

  • The Production List report should be generated and edited at least once a day. This list contains all items that are to be produced. This report contains only bundle articles and not the bundle itself.

  • Please note: If you have items that are still to be produced, but have not yet been scanned, check that these items are not produced twice.

  • If items that are personalized appear on the normal picklist, then they have not been personalized with the specific tag, see the Item Management section at the top of the document.

  • After production of an item:

    • Just assign the barcode directly to the item to allocate it later at the Scan-In. This is recommended when production is carried out in a separate room / location or by a separate person.

    • Or scan it immediately and place it in the box. This is recommended when production is carried out directly during shipping. The shipping of personalized items using the Direct Scan-in with 1-Scan-Shipping is also possible.

  • Orders that contain personalized and non-personalized / normal items should be processed as follows:

    • First, produce the personalized items.

    • Scan the items using the Scan-In into a shipping box.

    • Create a pick list for the remaining items in the order.

    • Scan the items on the pick list into the shipping box, which also contains the personalized items (pixi automatically displays the box number).

Note: pixi uses the barcode format "Code-128" in it's default setting for personalized items. But you can also use any format that supports alphanumeric characters and can be read by the barcode scanner.
