Send PDF Documents via E-Mail

With this functionality it is possible to include an invoice and reminder in PDF format as an attachment to automatic and customer service e-mails. You just have to configure, which e-mail template should include the invoice or reminder as an attachment.

Tip: Invoices and reminders in PDF format can only be attached to an e-mail, if they exist on the document storage server. For further information please check pixi*pedia article Save PDF Invoices to Document Storage.



Supported E-Mail Types

As PDF invoices and reminders are not needed for every e-mail type, not all e-mail types support sending e-mails with an attachment.

Which e-mail types you can use to send e-mails with an attachment can be seen in the Attachment Allowed column. This column is shown in the view, where the e-mail types are listed.

If you want to check, whether the e-mail has been or will be sent with an attachment, you can check the Attachment column in e-mail folders Drafts, Outbox, Sent e-mails, Not Sent. In case the checkbox is activated, the e-mail has been sent with an attachment.


Send Only When Attachments Are Available

If the Send Only When Attachments Are Available setting is enabled, it prevents emails from being sent before the attachments have been generated. If the attachments are not yet available, the status of the emails will be set to ERROR. This setting is disabled by default and can be applied to all Auto Emails and Customer Service Emails.


Auto Emails – Wait for Attachment

This setting allows you to define a waiting period to delay the sending of the email until the attachment has been fully generated and is available.

The default value is "0". If the attachment is not available when the email is created, the email is automatically moved to the NOT SENT folder.
To give the system more time to generate and upload the attachment, you can increase the setting to "1" (hour) or more. This increases the likelihood that the email will be sent correctly with the attachment.
As soon as the attachment becomes available, the email will be sent immediately—regardless of whether the configured waiting time has elapsed.

Note: This setting is particularly useful for large attachments that require more time to be generated.


Automatic E-Mails

The following e-mail types support sending e-mails with a PDF invoice as an attachment:

  • Order Sent Completely (SHC)

  • Order Sent Completely (incl. NLB Items) (SHCNLB)

  • Order Sent Partially (SHI)

  • Order Sent Partially (incl. NLB Items) (SHINLB)

  • Follow-up (SFU)

  • Returns (RET) (in this case the credit will be sent as an attachment and not the invoice)

  • REM1-REM5 - In case a single reminder was created for several invoices, then the reminder e-mail includes multiple attachments.

The following e-mail types support sending e-mails with a PDF reminder as an attachment:

  • REM1-REM5 - E-mails for every reminder level contain the PDF reminder as an attachment.


Customer Service E-Mails

The following e-mail types support sending e-mails with an attachment:

  • API e-mails for Invoices

  • E-mails for Invoices

  • E-mails for Credits (in this case the credit will be sent as an attachment and not the invoice)

How to enable the Functionality

Sending invoices in PDF format as an attachment needs to be configured per e-mail template. Follow these steps to enable PDF invoices as attachments for an e-mail template:

  1. Start pixi* Control Center application and go to Auto e-mails tab > E-mail Types and Templates > Automatic e-mails or Customer Service.

  2. Choose any of the supported e-mail types and open the needed template for editing.

  3. On the E-mailBody tab, activate the Attach Invoice/Reminder document checkbox.
