Invoice Templates

Automatic invoice printing requires templates, that need to be available on your computer. Using different templates, you can individually print your invoice documents. Every template ends with ".rtm" and needs to be located in C:\pixi\templates folder.

However, using 3rd party software you can also put your invoice templates to a network drive and link the C:\pixi\templates folder to the folder the actual templates are in. See below for more information.

Template Types

The following templates are available:

Template Type

Format

Example

Comment

Invoice

"ShopID".rtm

DEM.rtm

If there is no template with the shop ID, "noreport.rtm" template is used.

2nd page

2"ShopID".rtm

2DEM.rtm

Often used as return note.

3rd page

3"ShopID".rtm

3DEM.rtm

Often used as slip page to include it into a package every time. Can also be used as a construction or assembling manual, cancellation policy or something else.

Slip page

"ShopID"_ps.rtm

DEM_ps.rtm

Is only used, if billing address differs from shipping address.

Credit

"ShopID"_credit.rtm

DEM_credit.rtm

If there is no template with the shop ID, "noreport_credit.rtm" template is used.

Gift message

2_gift_"ShopID".rtm

2_gift_DEM.rtm

If there is a template in this format, it is printed on a separate page if the order contains a gift message.

** The italic text must not be changed when naming the templates!

Besides the templates mentioned above there are additional system templates the templates folder should contain:

  • Bial.rtm

  • ll.rtm

  • Lsl.rtm

  • Rsl.rtm

  • seal.rtm

  • shal.rtm

Notes:
- These templates are needed to correctly print invoices as well as editing them with the Template Editor. They should not be deleted!
- You can define max. 2 additional pages (2nd and 3rd page) next to the invoice and slip pages. A 4th page or more cannot be printed.

Usage of PDF Templates

If you don't want to use the same templates for PDF invoices as for printed invoices, because you are using preprinted paper, you can define separate templates for PDF invoices.

Modify your templates according to the documentation (if needed) and add the suffix "_PDF" to your template name.

On invoice printing, if invoice archiving is activated, the template for PDF invoices is used next to the normal invoice templates. Also for sending PDF invoices via e-mail in pixi Customer Service templates with the suffix "_PDF" are mandatory.

See also: Invoice Printing, Send PDF Invoice via E-Mail

Warning:
- If there is no template with suffix "_PDF" available in your template folder (C:\pixi\templates), it needs to be created. Otherwise no PDF invoices will be exported or "File not exists!!!!" is shown in pixi Invoices.
- If you use a special font in the PDF template, this font must be installed on all computers that generate a PDF file using this template. Otherwise a different font is used.

Example:

Your shop ID is "DEM".
The template for printed invoices should be named "DEM.rtm". (If this template does not exist, "noreport.rtm" is used.)

If you want to define a seperate templte for PDF invoices, duplicate this invoice, change the name to "DEM_PDF.rtm" and modify the template afterwards (if needed).

Using Network Drive Folders for Templates

If you don't want to put your invoice templates to each computer that prints invoice documents and a network drive is available for these computers, you can also put the templates in a folder on the network drive and use Symbolic Links (Symlinks). Doing this, templates are still saved on the network drive and the local folder gets a reference to the folder the actual templates are in.

This is how you can create Symlinks using the 3rd party software Link Shell Extension.

Warning: We can not be held responsible for damages that may occur out of using this 3rd party software.
Only install and use the software if you are okay with that.

  1. First, install the software ("vcredist_..." and afterwards "Link Shell Extension").

  2. Now right click the folder that contains the actual template files on your network drive and select Pick Link Source.

  3. Go to C:\ and right click the pixi folder. Select Drop As... > Symbolic Link.

  4. This creates the Symlink to the folder which is saved on your network drive. The folder named template will now also be available in the C:\pixi\ folder.

After everything has been set up, you can print invoices using the templates that are stored on your network drive.

Modify Invoice Templates

Templates can only be modified with a special pxi* editor. See Templates for Invoices
