In the Auto e-mails tab you manage the e-mail types and templates, the sending options and the sending of the e-mails.
E-mail creation and e-mail delivery are controlled by database jobs. Both jobs are run at an interval of 10 minutes, which means that e-mails are sent in a 10-minute cycle.
Drafts
In this folder, you will find e-mails for which the manual sending is activated. Here you can view the e-mails created, select one or more e-mails at once and trigger the sending manually or move the e-mails to the "Not Sent" folder. For a high distribution volume, it is recommended to send the e-mails automatically to the customer.
All e-mails in this folder have the CREATED status and a creation date. Because the sending of these e-mails is triggered by you manually, there is no send date. Enable individual checkboxes or the checkbox in the column header to highlight all the e-mails of the page and click on "Send e-mail" to move the selected e-mails to the inbox for further processing. If you do not want to send the e-mails to the customer, click "Don't send" to move the selected e-mails to the "Not Sent" folder.
Outbox
In this folder, you will find all e-mails that are currently being sent or will be sent. In addition, you will find here e-mails that have failed to send, and you can trigger the sending of these e-mails again or move them to the "Not Sent" folder.
The e-mails in the outbox first have the status CREATED - as soon as they are sent, this status changes in QUEUED. If the e-mails are successfully sent, they are moved to the "Sent e-mails" folder. If the sending failed, the status of the e-mails changes to FAILED and they are displayed in red. The history button allows you to display the error message of the selected e-mail. You can now re-send these e-mails or move them to the "Not Sent" folder.
Sent e-mails
In this folder, you will find all the e-mails that were successfully sent. Here you can view these sent e-mails or search for e-mails.
All e-mails in this folder have the status SENT and a create and send date.
Not Sent e-mails
In this folder, you will find all e-mails that failed to be sent, that had exceeded their expiration date, or e-mails that were not meant to be sent. Here you can view the e-mails and trigger their distribution.
The e-mails in this folder have the CREATED or FAILED status and a creation date. Tick individual checkboxes or the checkbox in the column header to highlight all e-mails of the page and click on "Send e-mail" to trigger the distribution for these e-mails.
A Delete Email button is implemented. It can be used to delete emails that are not in test mode and in the status "ERROR".
E-mail types and templates
Here you can find the available e-mail types of customer service, automatic and system e-mails. You can edit the options for the e-mail types here and create new templates or edit existing ones.
