Create a Pre-Order

Create a pre-order when you want to schedule bigger purchase orders for the season (for example, in fashion retail). You can manage pre-orders just as normal purchase orders, and they follow the same life cycle.

Important: Pre-orders are usually created well in advance. To prevent disruptions in your regular purchasing process and to ensure proper calculation of required quantities when generating purchase order suggestions, an additional field is implemented. You can set a date when a pre-order can be taken into consideration for the calculation of purchase order suggestions. Until the set date, the pre-order is not considered as open and ordered items and quantities are ignored when generating purchase order suggestions.

To create a pre-order:

  1. In the navigation, click Purchasing and click Purchase Orders.

  2. Point to Add and then click New Purchase Order.

  3. Select the following required information:

    • Order type: Select Pre-Order.

    • Supplier: Select a supplier. Note that you cannot change the supplier once you create an order.

    • Delivery address: Select a location for delivery. This is the default location for the purchase order.

    • (Optional) Exclude from order suggestions until: Select the date until which the pre-order is not taken into calculation when generating purchase order suggestions.

  4. Enter the general order information in the General tab.

  5. Add items to the purchase order in the Order Lines tab.

  6. Set the estimated delivery date for the pre-order.

  7. Optimize the purchasing conditions for the pre-order (optional).

  8. Add a note to the pre-order in the Notes tab (optional). These notes are for internal use only and are not sent to the supplier.

  9. Click Save.

The purchasing conditions are checked automatically and applied if possible. You are notified of the state of the purchasing conditions in this order and you can refine and optimize the order.
