Change Item Status

Items in pixi can have the following statuses:

  • Active: An active item can be sold to customers and ordered from suppliers.

  • Unavailable: Not available items can't be ordered from suppliers, but until it is on stock, it can still be sold to customers. Not available item is always visible in the item search in all pixi desktop applications and in the web application (even if the stock runs out).

  • Inactive: Inactive item can't be ordered from suppliers, but until it is on stock, it can still be sold to customers and is visible in the item search in all pixi desktop applications and in the web application. When the stock runs out, you can search for inactive items only in Items Management in the web application.
    Stock movements for inactive items can only be done using mobile devices (pixi Mobile).

Deactivate or Activate an Item

  1. Open the item that you want to activate or deactivate.

  2. Click Activate/Deactivate in the object toolbar.

  3. The item is activated or deactivated and automatically saved.

Notes:
- Deactivating or activating an item triggers item export to the shop for that item.
- If you deactivate a bundled item, the bundle status doesn't change automatically. You should consider this if you plan to add this bundle to supplier orders.
- In the Items list, deactivated items are displayed in grey crossed-out text.


Scenario for inactive items

You should deactivate items which you know will never be available anymore from suppliers and you will never sell them again. Deactivating an item is therefore very similar as deleting an item (which is not possible in pixi) but the whole history related to the item remains saved in pixi.


Set an Item as Not Available

You should set items to not available, when they were included in the printed catalog but aren't delivered by suppliers anymore. When the customer calls to order this item, the customer service employee still sees the not available item in the item search and can offer a different item to the customer.

Follow these steps to set an item as Not Available:


Change Status in Items List

  1. Activate the checkbox of one or more items, which you want to set as Not Available.

  2. Open the items properties by clicking the symbol.

  3. Choose "Not Available" in the status dropdown-list.

  4. Click Save to save your changes.


Set Reorder Level manually per Location

  1. Open the item that you want to set as Not Available.

  2. On the General tab, in the Stock Information section click the row you want to modify in the table.

  3. Enter negative value for the Reorder Level (e.g. -99) and press the ENTER key to confirm.

  4. Repeat for all locations.

  5. Click Save to save your changes to the item.

Notes:
- Item is set as Not Available only if the values for the reorder level are negative for all locations.
- You can also set a negative reorder level for an item using the symbol.
- In the Items list, not available items are displayed in grey text.
