Change Status of Offer

Offers follow a lifecycle and have four possible statuses: New (NEW), Offered (OFF), Won (WON) and LOST. Status NEW is assigned automatically when an offer is created; other statuses need to be set manually.


Change Offer Status to Offered

Once an offer has been created and is ready to be sent to the customer, its status needs to be changed to Offered (OFF) to indicate the initial negotiations with the customer are done. Offer lines are still editable and can be added or removed, in case the customer has additional requirements. To change the status of the offer to Offered:

  1. Point to the Process Offer button in the offer's toolbar and click Offered.

  2. Click Yes in the dialog to confirm the status change.

Note: all changes to the offer must first be saved before the status can be changed to Offered.


Change Offer Status to Won

Once a customer accepts an offer, its status needs to be changed to Won (WON), so the offer can be transferred to an order and the items can be shipped to the customer. Once the status of an offer is changed to Won, the completed date of the offer is automatically set on the current date. Offer data and offer lines are not editable anymore (except for comments for each order line). You can still edit the notes. To change the status of the offer to Won:

  1. Point to Process Offer button in the offer's toolbar and click Won.

  2. Click Yes in the dialog to confirm the status change.


Change Offer Status to Lost

If an offer has been rejected by a customer, its status needs to be changed to Lost (LOST). Offer data and offer lines are not editable anymore (except for comments for each order line). You can still edit the notes. To change the status of the offer to Lost:

  1. Point to Process Offer button in the offer's toolbar and click Lost.

  2. Enter a reason for loss of offer in the dialog and click Yes to confirm the status change.

Important: when an offer's status is changed to lost, a note is automatically created. Its title is 'Offer lost' and the body contains the reason you entered in the dialog when the status was changed.​
