Creation / Edit / Deletion of Email Types and Templates


In pixi you have the capability to (de-)activate individual types of emails so that this specific type of email is created and sent to your customers. For each type of email you can also create new templates, edit existing templates or delete them.

Email Types

By double-clicking on an email type or the "Edit Email Type" button, a new window opens where you can choose from the following options:

  • Enable or disable the email type.

  • Add an additional comment for this email type.

  • Using filter criteria you can exclude both payment types as well as shops from e-mail creation. (from pixi 18.02 on)
    Simply enter the payment or shop codes separated by a comma into the appropriate field.

  • Specify separate sending options and SMTP data for this type of email.


Sending Options

Choose from the following setting in the SMTP sending options for the respective email type:



  • Manual Sending: send emails of this type manually or automatically.

  • Test mode: use the test mode if you want to edit and test the email templates.

  • BCC address: you can store several BCC email addresses in the email types. Please separate these with a semicolon so that the email is sent to all addressees.

  • Expiration Date: for each email type you can set an expiration date for the sending of the email. If you set the value to 0, the emails are created but immediately moved to the "Unsent Emails" folder. The expiration date is quoted in days and the counting starts with the order receipt. Exceptions are:

    • SFU Email: The expiry days start after the invoice has been shipped out.

    • Shipping Confirmation Email: here the expiration date counts up from date of invoice creation.

    • (Test-)Emails without expiration date: 10 years from their creation date.

Email Templates

In pixi you can create new email templates, delete or edit existing templates. Select an email type to see the corresponding templates.



Create Templates

Choose an email type you want to create a new template for. Click on the 'New Template' button in the menu bar or right-click > New Template to add a new template. A new window opens with up to 5 different tabs.


General

In this tab you can now set the following options:

  • Define the name of the template.

  • Enable or disable the template.

  • Add a description for the template.

  • Set the format in which the email is sent.

  • Define the filter options for sending the email template.

  • Define your own SMTP data for the email template.

  • Import an existing template.


Email Body

In this tab you can enter the subject as well as the body text of the email in HTML or text format.

To add a variable to the template, click in the subject line or body text field and click Insert Variable. Select a variable and click Insert or double-click to add it.

Furthermore, you can add a detail (subtemplate) for the items, tracking IDs and / or non-deliverable articles in the email body text. Please note that different details are available for each type of email.



Detail 1

In this tab, you can enter the item information to go into the email. The information may relate to the order or invoice, depending on the type of email.

For payment reminder emails (REM), you can enter the details of the unpaid invoices and payment reminder in Detail 1.



Detail 2

In this tab you can store the information about the tracking ID of the order. If there is no tracking ID when sending the email, you can enter an alternative text addressed to customer under the item "Text if no detail".



Detail 3

In this tab, you can enter the information for the non-deliverable items. If there are no NLB articles for this order, you can enter an alternative text addressed to the customer under the point "Text if no detail" .



Preview

In this tab, you can view the e-mail template and check if everything is shown correctly. Variables that were used in the tabs before are replaced by <##>.

Edit Templates

Select an email type which you want to edit an existing template for. To open the template double-click or right-click on the template > Edit template.

After you have adjusted the template, click Save and enter a history comment.



Delete Template

Select an email type for which you want to delete an existing template. Then click on the Delete Template button. Except for the default template, you can delete all email templates.
