Search for an Item


Searching Items

To search for items, follow these steps:

  1. In the navigation, click Item Management > Items. By default, the Advanced Search pane is displayed on the right side of the Items list. Click the Advanced Search icon to hide or show the pane.

  2. Quick Search: type the whole phrase or part of the phrase. You can search for an item using item names, barcodes, item shop numbers, supplier item numbers and internal item numbers.
    Info: If the database contains many items, this search can take a bit longer since a "LIKE" search is always performed in the background.

  3. Enter/choose search parameters:

    • Type the whole item name or part of the item name into the Item name field.

      • You can search for parts of the item name using the "%" character before or after the search string, e.g. "Anti%Spray" results in "Anti-Monster-Spray".

      • If you want to search for items starting with a special character, then you can search for "[A-D]%" which will then show all items that start with letters A, B, C or D.

    • Type the barcode into the Barcode field.

      • You can search for all item codes in this field.

      • You can use the wildcard character "%" also in this field to search for items with partially matched results.

    • Open the list and select the supplier of the item.

    • Open the list and select the category of the item.

    • Search for items with selected tags:

      • Open the list and select one of the Boolean operators, which will be used for searching by tags: AND, if you want to find items, which have all of the selected tags; OR, if you want to find items, which have one or more of the selected tags; NOT, if you want to find items, which don't have any of the selected tags.

      • Click on the tag box and select tags.

    • Select one of the Item status radio buttons.

    • Select one of the Item type radio buttons.

    • Select one of the Stock status radio buttons.

  4. Click Search.

Note:
To reset the search and delete the chosen search parameters, click Clear.
If you navigate somewhere else, the last search remains saved until you reset your search or log out of the application.

Scenario: Search by Tags

In this scenario, these items with assigned tags are available:

  • Candy Bar - assigned tags: Batch number, Best before date

  • Chips - assigned tags: Batch number

  • Chocolate - assigned tags: Best before date

  • T-Shirt - assigned tags: Personalized item

  • Pants - no tags assigned

You select Batch number and Best before date tags and select the Boolean operator in the search parameters. Search results depend on the Boolean operator that you select:

  • If you select AND: Only Candy Bar is displayed in the search results because it has both tags assigned.

  • If you select OR: Candy Bar, Chips and Chocolate are displayed in the search results because they have at least one of the selected tags assigned.

  • If you select NOT: T-Shirt and Pants are assigned because they don't have any of the selected tags assigned.
