Tracking of stock movements

Stock movements describe and categorize all changes in your warehouse to improve the tracking of item movements. pixi provides several system stock movements to automatically record the stock movements. You have also the option to define additional stock movement types for storage and "take out" using the pixi Inventory application or pixi Mobile. The individual stock movement types are managed in the pixi Control Center.

pixi-specific processes that entail stock movements are automatically recorded in the inventory history and therefore do not require any additional manual effort by your warehouse staff. For manual stock movements, such as moving items to or from stock, you have the option to decide which storage type to save in pixi.


Management of stock movement types

Your pixi administrator can manage the individual stock movements via pixi Control Center. There are three new tables in the Tables tab available to you:

  • Stock Movement Types: This table shows all available stock movement types. You can also add new stock movement types, edit existing ones, or delete the ones you have created. Please note that system stock movement types that are grayed out cannot be edited or deleted.

  • Stock Movement Operations: In this table, you will find all pixi processes that involve a stock movement. Here you can define whether a manual selection of the movement type by the user is required for specific stock movements. Please note that system stock movements that are grayed out cannot be edited.

  • Stock Movement Matching: This table links the stock movements and processes. Here, you can assign specific stock movements to specific processes and define standard stock movements for specific processes. Again, you cannot edit grayed out system stock movements.

Note: The pixi administrator can only edit stock movement types and process matchings that affect the processes of storing and taking out stock in pixi Inventory or using pixi Mobile.

Note: The API calls pixiSetStock and pixiSetStockMultiple have also been extended. When the stock level is increased, the stock movement type "0201 - Misc. positive adjustment" is recorded in the inventory history. If the stock level is reduced, "0301 - Misc. negative adjustment" is recorded. In this case the application type "API" is recorded.

System Stock Movement Types

The table below provides an overview of all types of Stock Movement Types that pixi offers by default. Of course, you also have the option to define further stock movement types. Please read the section Addition of new Stock Movement Types.

Add new Stock Movement Types

To add a new stock movement type, you must first create a new entry in the Stock Movement Types table. You must then assign an operation in the table Stock Movements Operations. Just follow these steps:

  1. Open the pixi Control Center > Tables tab > Stock Movement Types table.

  2. Click New Row. A dialog box will open.

  3. Enter the following data:

    • Type ID: Enter a unique identification number. The IDs of the pre-determined stock movements correspond to the following schema:

      • All IDs consist of 4 digits

      • IDs starting with 0 represent stock movements during inventory taking, e.g. 0200 - Positive inventory discrepancy

      • IDs beginning with 1 represent stock movements that increase inventory, e.g. 1000 - Delivery by order

      • IDs starting with 2 represent inventory movements that reduce inventory, e.g. 2000 - Ordered by customer

      • Note: For a better overview, we recommend that you also use this schema for manually added stock movements.

    • Name: Give the storage movement type a specific designation.

    • Description: Enter a description for this stock movement type.

    • Short Name: Enter a short name for the stock movement type used for pixi Mobile. The field is limited to 20 characters.

  4. Click OK. Please note that the type ID must always be unique. pixi will obviously tell you, if an ID has already been assigned.

  5. Now open the table Stock Movement Matching.

  6. Click New Row. A dialog box will open.

  7. Enter the following data:

    • In the drop-down menu for the Operation, you must select the operation to which the new storage movement type is to be assigned, e.g. pixi Bin - Put to stock.

    • In the Type drop-down menu, select the type you had created in step 3.

    • If you want the stock movement type(s) you created to be always pre-selected for the selected operation, tick the checkbox Is Default Type.

  8. Click on OK.

Note: You can add stock movement types that affect the processes of "Put to stock" and "Take from stock" in pixi Inventory, pixi Mobile and pixi API.

(De-)Activate Manual Selection when Moving Items to or from Stock

For the processes of moving items to stock or from stock, you can define whether there is a manual selection of the stock movement type by your employee required - with the help of the pixi Inventory application or pixi Mobile - or whether pixi automatically defaults to a specific stock movement type.

Proceed as follows:

  1. Open the pixi Control Center > Tables tab > Stock Movement Operations table.

  2. Select the desired operation and click Edit Row. A dialog box will open.

  3. If you prefer a manual selection of the stock movement type whenever executing the stock movement process, e.g. for the storage of items using the pixi Inventory application, then activate the checkbox Ask In GUI. If a standard stock movement type (Is Default Type in table Stock Movement Operations) is set for the stock movement process, then this one is always pre-selected when the selection list is displayed. This reduces manual labor for your employee in case of frequent stock movements, as he only has to click OK to confirm the selection.

  4. If you want pixi to automatically select the stored standard stock movement type, clear the Ask In GUI checkbox. As a result, no selection list is displayed during the execution of the process, so there is no manual effort for your employee - a detailed recording of item movements of putting to and taking from stock isn't possible.

  5. Click OK.


Edit Stock Movements

To edit a stock movement type, proceed as follows:

  1. Open the pixi Control Center> Tables tab> Table Stock Movement Types.

  2. Select the stock movement type that you want to edit and click Edit Row.

  3. Make the desired changes and click OK.

To edit the process assignment of a stock movement type, proceed as follows:

  1. Open the pixi Control Center > Tables tab > Table Stock Movement Matching.

  2. Select the stock movement operation that you want to change and click Edit Row.

  3. Make the desired changes and click OK.

Notes:
-
You can only edit the stock movement types that you have added. System stock movement types cannot be changed.
- If an existing stock movement is renamed, the designation also changes subsequently in the storage bin history for movements of stock already carried out.

Delete Stock Movements

To delete a stock movement type, you must first remove the assignment to a process.

Proceed as follows:

  1. Open the pixi Control Center > Tables tab > Table Stock Movement Matching.

  2. Select the appropriate operation assignment and click Delete Row.

  3. Confirm the deletion with Yes.

  4. Change to the Stock Movement Types table.

  5. Select the relevant stock movement type and click Delete Row.

  6. Confirm the deletion with Yes.

Please note that stock movements cannot be deleted if they have already been used and recorded in the bin history.


Track Stock Movements

For most of the item movements that you perform with the help of the pixi applications, pixi automatically records the corresponding stock movement type in the inventory history. When you move items to stock or from stock, you can also display a selection list, in order to be able to distinguish in detail why an item is moved into or from storage.

When you move items to or from stock in pixi Inventory a dialog box appears, which displays a list of all available stock movement types. If you have selected a standard stock movement type in the pixi Control Center, then this shows preselected in the list, so you only have to click OK. Otherwise, select another stock movement type and click OK.

Bin History

A history of the stock movements is recorded and can be displayed for a selected item in the Bin History table in pixi Inventory.

The already existing bin history was expanded and now includes two tabs:

  • Selected Item - contains the history of the stock movements for the selected item.

  • All Items - contains the history of the stock movements for all items.

Both tables are organized in pages. Use the navigation buttons to switch between the pages.

Report Stock Movements

The standard report Stock Movements in pixi Reports > Standard Reports > Logistics were adapted for a detailed evaluation of the new stock movements. This report can now also be filtered according to a specific stock movement type.

The report offers you an overview of the stock movements per storage bin and per items in a selected period of time. Using various filter options, you can track the movements of a particular warehouse location, bin or of a specific stock movement. If you choose "Yes" from the "Manual Only" drop-down menu, the report shows only manual movements, such as moving to stock and from stock, which were not automatically triggered by certain pixi processes. You also have the option of displaying all the stock movements that an employee / pixi user has carried out.
