Why are no PDF Invoices created anymore after the Database Update?

If no PDF invoices are created anymore after your database was updated, most certainly missing invoice templates are the root cause.

Templates with suffix "_PDF" are needed to create PDF invoices. So if you still want to create PDF invoices, duplicate your templates and add "_PDF" to the duplicates. Here are some examples:

Tip: Check if your printing rules (if used) are still valid. Choose a "PDF Template" if PDF invoices should still be created.


How can I prevent that PDF Invoices are sent via E-Mail for specific Shops/Clients?

In order to prevent sending PDF invoices to specific shops, you only need to configure the appropriate e-mail template.

Create a new e-mail template for the specific shop by choosing it as a filter. Disable the setting "Attach Invoice Document" as described in the documentation: Send PDF Invoices via E-Mail

If an e-mail is created for this specific shop, no PDF invoice gets attached to the e-mail, although it exists on the document storage. So you can archive those invoices but you don't have to send them via e-mail.


Why is it not possible to up- or download PDF Invoices?

Please make sure that the appropriate Port (1960) is enabled for connecting to the document storage server. If you are not sure, contact your system administrator.


Do I need local Invoice Templates to send an Invoice Copy to a Customer?

Usually invoice copies are sent to customers using "Send PDF" functionality in pixi* Customer Service > Invoices tab. Depending on the archiving method used in your company, local invoice templates might still be needed to send invoices in PDF format to customers using your own e-mail application.

Local Archiving

If PDF invoices are stored and archived only locally (on your computer or on a network drive), you need invoice templates in any case in C:\pixi\templates folder to create PDF invoices.

Archiving on the Document Storage

If PDF invoices are archived on the document storage, you don't need local invoice templates because PDF invoices are downloaded from the document stored on every reprint.

But this means that you cannot reprint invoices using your local invoice templates, as long as PDF invoices exist on the document storage and the functionality is enabled.

Info: Be aware that PDF invoices are stored on the document storage for the number of days specified in the database setting Delete PDF Invoice Documents after X Days (pixi* Control Center > Database Settings > Invoices).

How can I create PDF Invoices of existing Invoices?

If you want to create PDF copies of already existing invoices in pixi*, you need to reprint them. These PDF invoices are then created based on the current invoice templates and printing rules (if available).

Before reprinting, make sure that the correct archiving method is set up is pixi* Invoices application:

Info: To skip printing invoices, activate the setting Don't print pixi* invoices when saving the invoice as PDF in pixi* Invoices > Tools > Options > PDF Invoices.


How can I reprint Invoice Documents using new Invoice Templates?

New Invoice on Change of Address

If a customer asks for a new invoice because his address changed, you can send him a new invoice without problems.

New Invoice for other Cases

In case you want to reprint invoice documents for invoices, that already have a PDF invoice stored on the document storage, using new invoice templates, you need to contact pixi* Support to help you achieving this.

Follow these steps in order to upload a new invoice PDF, that uses the latest template:

  1. If you already reprinted the invoice and the outdated template was used for the PDF, you need to delete the file, which is stored locally on your computer. Check the folder, you set in the configuration.

  2. Contact pixi* Support in order to delete the PDF stored in the document storage and provide the invoice number.

  3. Disable the settings Save a copy of invoice as PDF file to this folder and Save invoice as PDF to document storage on your computer. This way, if you reprint the invoice with the changed template, it doesn't get uploaded to the document storage.
    If you didn't disable the settings and reprinted the invoice, although you didn't finish modifying the template, go back to step 2.

  4. Now modify the templates according to your needs. Since both settings are disabled, you can reprint the invoice as many times as you want. It will always create the invoice using your current, local template from C:\pixi\templates.

  5. After you are done modifying the template, activate the settings Save a copy of invoice as PDF file to this folder and Save invoice as PDF to document storage and reprint the invoice. Doing this, the latest version of the invoice gets uploaded to the document storage and is available for everybody to download it.


Why are PDF Invoices not being created properly?

It can happen that PDF invoices are not being created properly. In such cases the files itself are only few kilobytes in size (often only 1 KB). These wrong PDF invoices are of course also send to customers.

If you notice this, then antivirus software on the computer that creates PDF invoices can be responsible. You should ask your administrator to check the antivirus software configuration in this case.
