The pixi Inventory application takes care of your entire warehouse management: the placing into stock of items as well as the removal of your goods plus the inventory control. We can also set up and manage the storage bins while printing the bin labels when accessing the admin section of pixi Inventory.
User Interface
The displayed view changes color according to the currently active mode and its corresponding color code. In the screenshot you can see that the mode Put into Stock (F5) is currently active. To switch the mode, click on Take from Stock (F6) or on Change Quantity (F7) in the top right-hand side corner of the display. Alternatively, you can also use the F-key on your keyboard.
Subsection 1 - Modes "Put into Stock", "Take from Stock" and "Change Quantities"
The pixi Inventory application supports three different work steps in the warehouse: Put into Stock, Take from Stock and Change Quantity (=Inventory). To avoid mistakes, the current application mode is highlighted in different colors.
The "Put into Stock" mode is displayed in green and can be accessed by clicking on "Put into Stock F5" in the top right-hand side corner or on the F5 key. Putting items into stock increases the inventory by the selected number of stock.
The "Take from Stock" mode is shown in red and can be accessed by clicking on "Take from Stock (F6)" located in the top right-hand side corner or by clicking the F6-key. "Take from Stock" lowers the inventory by the selected number at the respective storage bin.
The "Change Quantity" (=Inventory) mode is displayed in yellow and can be accessed by clicking on "Change Quantity (F7)" in the top right-hand side corner or on the F7-key. If you have selected the Change Quantity function in the menu, the stock level is not increased or reduced, as opposed to "Put into Stock" or "Take from Stock", but the stock for the scanned item and the scanned bin is set according to your current count. For example, if you have three items in the A-13-C bin, and you take an inventory of a quantity of 5 items, then afterwards there will be a stock level of 5 in this bin.
Subsection 2 - Number, barcode, storage bin
Enter the item's number and confirm it. You can scan the barcode, enter it via the keyboard, or double-click on an item in the search area. The storage bin for the item is filed in the third field (Bin). This section is used for all three of the mentioned modes.
Subsection 3 - History
In the history section, you’ll be shown all information regarding previous actions performed with the pixi Inventory application.
Subsection 4 - Bins and empty bin compartments
Bins with this Item
Here you can display all the storage bins for the current item. To view the bins, write or copy-paste the barcode of the item in the Barcode field or double-click on the item in the Item Search. If you want to confirm a bin, double-click on a displayed bin to confirm it in the field Bin (area 2). Alternatively, you can specify the bin manually.
Items in this Bin
Here, you can display all items in the selected bin. To view items, please write or copy-paste the bin name in the field Bin or double-click on the bin in the top part in Bins with this Item.
Empty Bins
This field displays a maximum of 20 empty bins.
Bin Admin
Using the Bin Admin button, you can print bin labels (for multiple selection SHIFT + CLICK) and create storage bins. This button is only visible if the "Enable Bin Admin" setting is enabled in the pixi * Control Center > Database Settings > Inventory folder.
Location: The location of the corresponding bin (only important for multi-location option).
Bin Name: The name of the bin.
Bin Max Items: The value entered here is not to be considered. It is an outdated function that couldn't be removed for reasons of compatibility.
Bin Sort Num: Sorting number for picklist. Here you must assign a consecutive number - this number is used to determine the optimization of the picking route for your picklist.
If you want to create a new bin, go to the last bin in the list and press the Down-Arrow-key. A new line is created, you can enter the name of the storage bin here and the sorting number. The new bin is saved with Enter or with another click on the Arrow-Down-key.
If you want to print labels for storage bins, select one or more (Shift + Click) bin(s) from the list, and then click Print Bin Label(s). The labels are printed automatically via your barcode printer. If the layout of the labels isn't suitable, you can adapt it as described here: Bin and Bin Item Label Configuration.
Note: In the pixi Control Center > Tables tab > Table Bins, you can also create new storage bins and print bin labels.
Subsection 5 - Item Search
The Item Search allows you to sort and filter the search results. You can also see the number of search results for your item search. The maximum number of search results is limited to 300 by default. To increase the number of search results, please contact pixi Support.
The search fields
Item name: Here you can enter the item’s name, barcode, supplier item number or shop item number. You can also perform a partial search using the wildcard character "%". (from pixi 18.12 on)
Supplier: Which supplier has availability for the item in question.
Category: Which category does the item belong to (as retrieved from the shop).
Only Item in stock: Runs the search only for items in stock.
The results
Barcode: Primary barcode for this item
Item Nr. Suppl.: Supplier item number
Item Nr. Int: Shop item number
Item name: Name of the item
Category: Item category from the shop
Quantity: Quantity of the item in stock
Price: Retail price (from shop)
Weight: Weight (from shop)
Bundle: Number of items contained in the bundle
The articles are color-coded in the results list:
green: in stock
orange: not in stock
red: not available (reorder level negative for all locations)
When you select an item in the search, you will see on the right-hand side below the header Bins with this Item bins where this item is located.
Buttons
On the right-hand side of the search window you will find a list of buttons to run the following features:
Print: Print one or more item labels with barcode based on the value in the "Quantity" field above the button for the selected item. To print multiple product labels, highlight the products by pressing the Shift key at the same time.
Note: If you change the value in the Quantity field above the Print button, this value is also automatically set in the field Quantity in the top left above the Barcode field after pressing the Print button. The value above the Print button is then automatically set to "1".
Bin History: Here you can track previous movements of a particular item.
Item Info: The item info displays all available information on the selected item.
Change Barcode
You can change the barcode via the Item Info in the Inventory application and pixi Web (Item details > Suppliers tab).
Delete Item: If there hasn't been logged a stock level for an item and this item has previously not been part of an order, then you can delete an item the same way as above by clicking Delete Item instead.
Item Label: A click on this button prints the item label for selected article. Should the layout not fit your purpose or not be to your liking, you can amend the label following this description: Bin and Bin Item Label Configuration.
Configuration
Warning message when taking items from stock on the picklist
pixi can inform you using a warning message in pixi Inventory when you take items from stock that are already part of a picklist. In the pixi Control Center, you will find a setting for deactivating / activating the warning message and information message in the pixi Inventory: Database Settings tab > Inventory folder> Item Take Out - No warning at picklist
The item quantity you wish to take from stock must be available in stock. If these are articles that are already part of a picklist, the system will try to "hold back" these because they are still waiting for shipment.
Example:
Quantity in bin: 1
1 item appears also on a picklist.
You want to take this item from stock.
Setting: OFF
The warning message informs you that the item is on a picklist and you can't remove it from inventory.
In pixi Inventory, you locate on the right-hand side the section Bins with this Item. You'll see the current stock level for this item in this storage bin.
In pixi Item Info in the tab Picklists, you can check to find out on which picklist the item appears and in which quantity.
Example:
The warning message informs you that 1 item is on the active picklist and 2 items are available in the storage bin.
The stock level is not reduced.
Setting: ON
No warning message or information is displayed. The inventory is reduced by the amount you specify and the items that are no longer available are removed from the picklist.
Example:
No warning message is displayed.
The stock level is reduced by 1 item.
The quantity in the picklist is updated to 0. In this case the items is removed from the picklist entirely.
Attention: Please note that the items to taken from storage could also be found on various picklists! After taking them from storage, the existing picklists are still retained, but you can't process the Scan-In for all the orders that include corresponding item!
