Partial deliveries in pixi

pixi supports partial deliveries for ordered items. If the ordered quantity of an item exceeds stock levels, you can trigger a partial delivery for this order. In this case, the available quantity will be shipped and invoiced to the customer. You can choose to leave the partially delivered order in "Open" status or cancel the remaining ordered items.

This article explains the three basic ways of shipping partial deliveries with pixi:

  • Using the button in pixi Customer Service

  • Picklist parameter "Include partial orders"

  • "Incomplete Orders" tab in pixi Shipping

- Only if a partial delivery is triggered in pixi Customer Service, the invoice is automatically printed. In all other cases, you must print these manually in pixi Invoices to ship the partial deliveries.
- Please note that a voucher for an order is only applied to the first partial delivery. If there is a remaining amount, this leftover voucher will be forfeited for any further partial deliveries.
- Please also note that the FiFo principle (first in, first out) does not apply to orders with partial deliveries activated. Activating a partial delivery via ship now increases the priority of an order, so that it is moved on top of a picklist.


Ship now in pixi Customer Service

This feature allows you to ship an order immediately upon customer request. You can recognize those orders for which partial delivery has been triggered by the green arrow in the order header.

Follow these steps to trigger partial delivery for a specific order:

  1. Open pixi Customer Service and select the Orders tab.

  2. Select the respective order and click on .

  3. In the window that opens, select Partial delivery is Enabled.

    1. To cancel the remaining items for this order, choose the option to Not available items should be canceled (STO).

    2. To ship the remaining items as soon as they are in stock (the order remains in the "Open" status), select Not available items should stay on current status and be shipped when they are available.

      • Ship remaining items partially: Select this option if the remaining items are to be shipped at a later date once they become available - also in further partial deliveries. With this option, the partial delivery in pixi Customer Service remains active until all items on the order have been shipped or canceled or set to NLB.

      • Ship remaining items in one shipment: Select this option, if you want the remaining items to be shipped in one package when becoming available. This option deactivates partial deliveries as soon as the next package is shipped - even if items are still pending shipment.

  4. Click OK, and then click Yes to confirm the partial delivery.
    These settings can be changed at any time by clicking again.

Now create a picklist and scan the items as per usual by using the Scan-In tab. If you are prompted to confirm the quantity of scanned items for a partial delivery, the available stock is then displayed.

The invoice is automatically printed due to the use of the "Ship now" functionality.

Picklist parameters for partial deliveries

Creating a picklist, you can choose specific parameters, such as "Include partial orders" to allow incomplete orders to be picked and shipped.

Follow these steps to understand how partial deliveries are created during the picklist generation:

  1. Open the pixi Shipping application and select the Picklists tab.

  2. Click on "New Picklist"

  3. In the new dialog window, select "Specify picklist parameters" and click "Create Picklist".

  4. To include partial deliveries in the picklist to be created, activate the options "Include partial orders" and "Include partial quantities" in the opening window.

  5. Specify additional parameters where needed, then click on "Create Picklist".

After the automatic invoice printing has generated all invoices for completed order boxes, you have to print the missing invoices for the partial deliveries by manually entering the picklist number in pix* Invoices. A note is then printed on the invoice that the missing items are to be shipped afterwards.

Incomplete Orders tab in pixi Shipping

The Incomplete Orders tab in pixi Shipping lists - contrary to its designation - all open orders with order lines in status ANG. Please note that orders with an existing customer lock are also displayed here.

The basic idea behind this tab evolved from the following process: First, all complete orders are picked and shipped as per usual. Afterwards the "Incomplete Orders" tab in the pixi Shipping only shows incomplete orders. You can now check the list and decide on a case-by-case basis whether a partial delivery is the way to go.

For example: a customer has ordered a coffee machine and coffee beans, but the coffee machine will only be delivered within the next few days by your supplier. What are the benefits of the coffee beans without a coffee machine? In such a case, you should wait for the supplier delivery. However, if it was an order of several packs of coffee beans it could also be partially dispatched.

Then activate the checkbox of the respective order in the Incomplete Orders tab in pixi Shipping. You then create a picklist using the "Create Picklist from Checked" button, pick the items and print all invoices in pixi Invoices by entering the picklist number. Since customer orders with customer lock are also included in the picklist, you will receive a message at Scan-In that this customer is blocked. You must first remove the lock in pixi Customer Service.

Partial deliveries for bundles

You can choose whether or not bundles should be included in a picklist, if all individual items of a bundle are in stock. Do so via the database setting Ship complete bundles only (in pixi Control Center> Database Settings> Shipping folder).


Ship complete bundles only

Activate the above mentioned setting, if you want to ship complete bundles only. Do so, even if the "Include partial orders" parameter is selected when creating a picklist in the pixi Shipping application or the "Ship now" function is used in pixi* Customer Service.

When the partial delivery feature is activated (in the pixi Customer Service or pixi Shipping) and stock levels of individual bundle items are not sufficient to cover the ordered bundle quantity, the bundle is added to the picklist in the available quantity to be shipped.

Example:

A bundle consists fo two items: Item A in a quantity of 2 and item B in a quantity of 1.
A customer orders the bundle in a quantity of 3 - ordered quantity for item A is 6x and 3x for item B.
A partial delivery has been triggered for this order in pixi Customer Service.
Stock level for item A is at 5 and at 3 for item B.
The database setting Ship complete bundles only is enabled.

Now a picklist is created including the bundle with the quantity 2 (of the 3 ordered) in the form of the individual bundle items (item A 4x and item B 2x) of the customer order, because one of item A is missing to complete the leftover bundle.


Ship individual item of a bundle

Deactivate the above mentioned setting, if individual items of the bundle are to be sent in the form of a partial delivery if available.


Partial deliveries for specific item categories

The partial delivery for items of a category is also supported. If you select the partial delivery options and a category as a parameter for a picklist, all items of the selected category are placed onto the picklist.

Example: If you create a new picklist for partial delivery and the category "T-shirt", then all items of this category are taken into account for the orders 138573 and 138574:

Partial deliveries in pixi Web

To send partial deliveries in pixi Web:

  1. Navigate to Customer Service > Orders

  2. Choose your order and go to its details page

  3. In the top menu, click More > Ship Now

  4. You can activate partial delivery for this order and set further preferences.
