Picklist generation & parameters

Should some orders not appear in your picklist, please follow the respective FAQ references:
Frequently asked questions in pixi Shipping

Generation of a new picklist

  1. Click New Picklist.

  2. Select Specify picklist parameters to choose from all available options or recycle a saved picklist profile via Use picklist profile. Alternatively, you can also create picklists using a profile in the pixi Web application > Logistics > Picklists and use it in pixi Web. Please note: The default profile that was created in pixi Web is not shown in the picklist creation list in pixi Desktop.

  3. Picklist options: You can find an overview detailing all available picklist parameters in the paragraph Picklist parameters in the following.

  4. Click Create Picklist and print the picklist. To review the generated picklist before printing you have the option to activate the print preview via the respective checkbox. This option is deactivated by default.

A sequential number and an expiry date is assigned to each picklist you create. The expiry date determines its period of validity and usage.

All created picklists can be found in the top part of the "Picklists" tab. In the bottom part you can view the individual picklist orderlines. You do have the option to remove individual items from the picklist.

Delete a picklist via the toolbar. Please note: If a picklist's validity has expired or has been deleted manually, it can't be restored. Generate a new picklist using the same parameters to have the items reappear on the picklist.

Orders

General

  • Order Nr.: Generate a picklist covering one particular order by simply entering the corresponding order number.

  • Max. Items per Package: Generate a picklist set to a selected maximum number of items (e.g. in order to for orders a given size of packaging cartons) by entering your preferred maximum number of items. Orders exceeding your chosen maximum number of items won't be factored into picklist generation.

  • Min. Items per Package: Generate a picklist set to a selected minimum number of items (e.g. in order to process over-sized items only) by entering your minimum number of items. Orders not reaching your set minimum number of items won't be factored into picklist generation.

  • Supplier order no.: This parameter is obsolete! Limit the picklist to items of a particular supplier order by entering the respective supplier order number. Orders consisting of other or additional items will not be part of this picklist.

Note: You can also utilize this option in combination with partial deliveries. In this instance, the items of referenced supplier order, as well as other items, are added to the picklist and are shipped in partial deliveries. The required items are shipped using this picklist, others are shipped separately.

  • Min. Number of orders per picklist: With this parameter, you can define the minimum number of orders that should be available on each individual picklist before it is even created and can be used.

  • Max. Number of orders per picklist: With this parameter, you can define the maximum amount of orders to be on each individual picklist or limit the number of orders to fit the number of available shipping boxes.

  • Max. Number of Picklists: With this parameter, you can define the number of picklists that should be generated with this set of picklist parameters. Here are some example scenarios:

    • Please note that when creating multiple picklists for the same profile/set of parameters using a certain box range, the database setting Picklist - Overlapping boxes will be ignored resulting in several picklists being created for the same box range.

      Scenario

      Outcome

      • Shippable orders: 100

      • Max. Number of orders: 10

      • Max. Number of Picklists: 50

      • Picklists created: 10 picklists; 10 orders each

      • Open orders on picklist: 10 (all)

      • Shippable orders: 100

      • Max. Number of orders: 15

      • Max. Number of Picklists: 3

      • Picklists created: 3 picklists; 15 orders each

      • Open orders on picklist: 45

      • Open orders not on picklist: 55, because Max. Number of Picklists is set to "3"

      • Shippable orders: 78

      • Min. Number of orders: 5

      • Max. Number of orders: 15

      • Max. Number of Picklists: 999

      • Picklists created: 5 picklists; 15 orders each

      • Open orders on picklist: 75

      • Open orders not on picklist: 3, because Min. Number of orders is set to "5" and was therefore not reached

      Single order picking:

      • Shippable orders: 78

      • Max. Number of orders: 1

      • Max. Number of Picklists: 999

      • Picklists created: 78 picklists; 1 order each

      • Open orders on picklist: 78 (all)

  • Older as: To limit a picklist to orders and their items recorded by the system a certain time ago, click into the particular checkbox and enter the required date. More recent orders won't be part of this picklist. In this case pixi won't save the actual date but a value depending on the current date. This ensures the picklist parameter to check the same period if you create the picklist on another day.
Example: The parameter is set to 22.07.2017 on 24.07.2017 - pixi saves "-2" to the database instead. If you create the picklist on 25.07.2017, the parameter contains 23.07.2017 (25.07.2017 minus 2 days).

  • Younger as: To limit a picklist to orders and their items recorded by the system after a certain date, click into the particular checkbox and enter the required date. Orders recorded previously won't be part of this picklist. Also in this case pixi doesn't save a date but a value. Please check the "Older as:" parameter to see an example.

  • Include customers and orders with shipping lock: It's possible to block a customer or an individual order for shipping. Should you still want to take blocked customers or orders into account, mark this particular checkbox.

  • Country Group: Limit your picklist to specific countries (or country groupings). In this case, only items ordered by customers with a shipping address based in selected country grouping are factored into the picklist generation.

    • Note: Country groupings are set up in the pixi Control Center. If there are no country groupings defined, this list remains empty. Contact your pixi Administrator should this be the case.

  • Exclude orders with single item: In order to exclude orders consisting of one item only from the picklist, activate the checkbox in question. You can process such orders using the 1-Scan-Shipping feature. This setting is only visible with 1-Scan-Shipping™ activated.

Shops

You have the option to exclude one or several shops from picklist generation. Using the buttons and , you can move the shops from table to table. The first column of each table respectively displays the shop name, the second column holds the shop ID sourced from the pixi Control Center > Table Shops.

  • All Shops: This table displays all shops available via your database. Shops listed in this table are not part of the picklist generation.

  • Selected Shops: This table lists all shops which are factored into your picklist generation. If there is no entry in this table, all shops are taken into account for your picklist generation.

Some functionality:

  • Exclude shop: Orders from the shop specified are excluded from picklist generation.

  • Only this shop: Only orders from the specified shop are added to the picklist. Orders stemming from other shops are not taken into account.

Payment Types

You have the option to exclude one or more payment methods from picklist generation. Using the buttons and , you can move the payment methods between both tables. The first column of each table respectively displays the name of the payment method and the second displays the code sourced from pixi Control Center > Table Payment Types.

  • All Payment Methods: Here you'll find all payment types available via your database. Payment types from this table are not factored into picklist generation.

  • Selected Payment Methods: This table lists all payment types which are to be taken into account for picklist generation. If there is no entry in this table, all payment types are taken into account for your picklist generation.

Some functionality:

  • This payment type only: Only orders using the specified payment method are added to the picklist. Other orders are excluded from picklist generation.

  • Exclude payment type: Only orders using payment methods other than the specified are added to the picklist. Orders using specified payment type are excluded from the shipping processing.

Order Weight

  • From/To: Limit picklists to include only orders within a chosen weight range. pixi calculates the freight weight of shipping packages, if the item info carries a weight attribute.

Order Volume (l)

  • From/To: You can limit picklists to include only orders within a specified volume range. This requires that item dimensions (width, height, and depth) are maintained in the system.

Partial Delivery

The activation of partial deliveries for shipping is optional. This option can be used in combination with other parameters.

  • Include partial orders: Select this option, if items are out of stock or you exclude selected items from shipping using picklists parameters. This way, you can ship the available or the required items of orders which contain additional orderlines at the same time.

    • For example: You generate a picklist using the options partial delivery and category > T-Shirts to add all orderlines matching these criteria to the picklist. Orders containing further orderlines will be shipped in form of partial deliveries (it's T-shirts only that are shipped, all other items are excluded from the process).

  • Include partial quantities: Select this option, if you want to ship partial quantities of individual orderlines. If the item quantity ordered is only partially available, you can trigger the shipment of the available quantity currently in stock.

    • For example: Assuming you deal with an orderline in a quantity of four items, but only a quantity of two is in stock; the two available items will be added to the picklist and processed for shipping. The remaining two items will be processed on arrival of the respective supplier order at goods receipt.

  • Value of available items: You can specify the value of items in storage which are available to be shipped. The order is added to the picklist, if the partial delivery's value equals or exceeds the specified minimum order value.

    • For example: There is a minimum value of 3 Euros for items to be processed for shipping. The order won't be added in form of a partial delivery to the picklist, if the value of the available items falls short of the specified value.

  • Value of not available items: You can specify the value of items which are not available to be shipped. The available orderlines of an order are added to the picklist, if the partial delivery's value of the not available items equals or exceeds the specified minimum order value.

    • For example: There is a minimum value of 4 Euros for items that cannot be shipped. The order won't be added in form of a partial delivery to the picklist, if the value of the not available items falls short of the specified value.

Shipping Vendors

You have the option to select a single or several different shipping vendors for the delivery of your packages. Orders containing items which can't be shipped using selected shipping service providers are not added to the picklist.

Orderlines

Category

Items can be allocated into categories (e.g. category 'food products': sweets, bread and other edible items).

  • Only Category: Only orders consisting of items from specified category are added to the picklist. Orders with line items from other categories are not processed for shipping.

    • Note: To include orderlines for shipping from the specified category, but also orders consisting of other items, you have to activate partial delivery.

  • Exclude Category: Only orders consisting of items other than the specified item category are added to the picklist. Orders consisting of items from a specified category are excluded from the shipping processing.

Note: To ship orders consisting of items from the specified category and also other categories, you'll have to activate partial delivery.

ANG Date

You can limit the picklist to orderlines with ANG date (order accepted/released) in the period selected. However, pixi does not save the actual dates, but converts them into a time span of X days.

Example:

  • Today is the 18.07.2017.

  • You set From: to 10.07.2017 and To: to 14.07.2017.
This corresponds to a time frame of 5 days.

pixi saves a -8 for the From: value (18.07. minus 10.07.) and a -4 for the To: value (18.07. minus 14.07.) in this case.

If you have saved the picklist as a profile and open the profile on the next day, the previously defined time frame is taken and the values are automatically adjusted - From: now contains the 11.07.2017 (19.07. minus 8 days) and To: contains the 15.07.2017 (19.07. minus 4 days).

Best Before Date (BBD)

  • BBD is valid at least for x days: Using this parameter, you can omit items from picklist generation whose BBD/minimum shelf life (MSL) is reached in less than x days.

Item Tags

Each item is allocated a Tag in order to identify and group the items (e.g. food products or clothing). Each items can be allocated more than one Tag. Use this option to generate picklists limited to item Tags. Combine Tags in different ways (OR, AND, NOT):

  • Assigned Tags (OR): To add items which were allocated at least the one selected Tag

  • Assigned Tags (AND): To add items with the selected Tag and one or more other selected Tags

  • Assigned Tags (NOT): To add items which were not allocated the selected Tag

You can set additional filter options:

All items with selected tag(s): Corresponding functionality as available in earlier versions to pixi AVA Update 9.
At least one item with selected tag(s): Using this parameter, all orders containing at least one item that meets selected requirement are added to the picklist.

  • List of displayed tags is sorted in alphabetical order.

  • It is also possible to filter for tags using wildcard character " * ".

Order Tags (pixi Web only)

Warning: These parameters are only taken into account when creating a picklist from pixi Web or when using the picklist sequences! They will be ignored if a picklist is created from the desktop application.

Use order tags to create picklists for a group of orders that share the same properties. Identical to items, you can combine order tags in different ways:

  • Assigned Tags (OR): Create picklists for orders that have at least one of the tags that are listed here

  • Assigned Tags (AND): Create picklists for only orders with the tags from this list

  • Assigned Tags (NOT): Create picklists for orders that do not have the tags from this list assigned

Stock

Locations:

  • Pick from current location: Only items stored at the current location are added to the picklist. Orders containing items from other locations are excluded.

  • Pick from all locations: Items stored at all available locations are eligible for picklist generation.

Bin sorting:

  • Bin Sort number: The picklist is arranged according to sorting numbers to optimize the picking path in the storage area.

  • Oldest item in bin: The picklist is sorted according to pick the oldest available items in storage.

Bin groups:

Combine storage bins into groups, in order to facilitate localization and identification of your storage areas within the warehouse. Use this option to limit the picklist to selected bin groups. Select as needed. If no group was selected, all groups are considered for picklist creation.

Manage your storage bin groups individually in the pixi Control Center. Get in touch with pixi Support, if you want to allocate storage bins to a specific group.

Note: Once the bin groups are allocated, the picklist will be displayed as per following hierarchy:
- Bin group (ascending by name)
- Sort number

See also: Examples, Configuration of storage locations and shipping boxes

Bins:

  • From/To: Limit the picklist to selected storage locations.

Boxes:

  • Express and Normal: Select a date under Express send date to, if you want to ensure to ship orders by a particular shipping date. You can select which boxes are to be processed for shipping:

    • Express and Normal – includes all orders

    • Normal Only – includes only orders without shipping date information

    • Express Only – includes only orders with shipping date info

  • Only for used boxes: You can generate a picklist for boxes already containing picked items which had no invoice generated and haven't been shipped yet. In addition, you can specify a range of used boxes as required.

  • From/To: You can specify in which box range the orders should be placed. You can only define the "From:" value. The value under "To:" is automatically determined and entered according to the value in the "Number of orders" field. With this setting, it is possible to control which box range is available for a shipping station.

    • The number of orders is 5; you have set up boxes 1, 2, 3, 5, 6, 7, 8, 9, 10 (4 is missing) and you enter the value under "From" to 1, then the value for the filed "to:" is automatically set to 6 - pixi takes into account the missing box 4.

    • Example using 32 configured boxes (1 - 32):

      • Shipping station A (over-sized items): Number of orders 2 - boxes 1 and 2

      • Shipping station B (regular items): Number of orders 15 - boxes 3 to 17

      • Shipping station C ((regular items): Number of orders 15 - boxes 18 to 32

Other options that affect picklist generation

"Ship now" functionality

Partial deliveries can be triggered for customer orders using the functionality in pixi Customer Service > Orders tab.

If enabled, the order is considered to be completely available with all the items being currently on stock. Items that are not available are ignored - you can ship, what's there at the time.
This means to ship such orders, the Partial Delivery parameters do not have to be enabled. In case the specified parameters apply to the order, it is put to the picklist. Of course, only order lines with sufficient stock will be affected.

Full Orders vs. Partial Orders with Ship now

Although orders with Ship now being enabled will be put to the picklist, they do have lower priority as full orders (if reservations are not enabled!).
This means that pixi first checks for full orders, puts them on he picklist and afterwards pixi checks for orders with Ship now that could be shipped and then puts them on the picklist. It could happen that several picklists need to be created before "Ship now orders" will be on the picklist.

If reservations are enabled, both "order types" (full & Ship now) have the same priority. There, they will be put to the picklist using the FIFO principle.

Orders with Items on different Bin Groups

However, there can be certain cases where the order does not come to picklist although the containing items are in stock and available for the picklist. The specified picklist parameters need to be checked in this case.

An example:

Order ("Ship Now" enabled):

Picklist profile used for picklist generation:

  • Name: Only Jackets

  • Bin Groups: Jackets - nothing else!

  • there are no other restrictions - the profile is specified to check orders from all shops, payment types, shipping vendors, etc.

Using the picklist profile "Only Jackets" the order does not come to picklist. Why?

Not all available items are in stock for bins that belong to the "Jackets" bin group. Only item "Jacket A" is available in the "Jackets" bin group.
Shoe B, which is also available in general, is only available in bin group "Only Shoes" which is not considered in the used picklist profile. As the picklist would therefore only contain one of the two available items of the example order, the whole order won't be put to the picklist.

This was done to prevent sending several packages for items that could have been sent in one package as they are available at the same time.

If you are working with picklist profiles for specific bin groups, you need to consider this logic - a picklist over several/all bin groups has to be created after the bin-group-specific picking to get such orders on picklist. This logic is the same for complete orders.

Example of parameter application

Application example of the Tags parameter

For better identification or grouping of specific items, you can provide these items with one or more tags, e.g. bulky goods or chilled food.

To limit a picklist to items with specific Tags, you can use the Tags option in the picklist parameters. You can find this parameter under the parameter group Orderlines. You can create different combinations of tags with OR, AND, and NOT.

Partial delivery activated:

If you now create a picklist for the TAG "Clothing":

  • OR: the items of orders 100 and 200 are added to the picklist; order 100 is partially shipped (partial delivery of t-shirts).

  • AND: the items of orders 100 and 200 are added to the picklist.

  • NOT: the items of orders 100 and 300 are added to the picklist; order 100 is partially shipped (partial delivery of the printer).

Partial delivery not activated:

If you generate a picklist for the Tag "Clothing":

  • OR: only the items of order 200 are added to picklist.

  • AND: only the items of order 200 are added to picklist.

  • NOT: only the items of order 300 are added to picklist.

If you create a picklist using the Tag "Clothing" (OR) and the Tag "Shoes" (AND), then the items of order 200 are added to picklist.

Application example of the bin groups parameter

Bins can be assigned to bin groups to help identification and positioning of specific storage locations within your warehouse. To limit a picklist to specific bin groups simply use the option Bin groups in picklist options in parameter category Stock. Select the bin group(s) in question and generate the picklist as usual.
