Customer Order Reservation

The reservation feature in pixi guarantees a customer who has ordered certain items that the ordered items are reserved for him. Order reservations follow the FIFO principle (First-In-First-Out) according to the reservation date and time.


Reservation Feature Overview

If the reservation function is activated in pixi, each Item of an order is reserved for exactly this customer. Upon receipt of the payment and if the available quantity of stock is sufficient, the reserved order will be displayed in the next picklist and the item can be shipped. The reservation function is offers an advantage to you, if you want to control your shipment even more precisely.


Example:

  • During picklist creation, pixi always accesses the available stock.

  • A customer orders e.g. 100 items to assemble a bike.

  • 5 of these items are not sufficiently in stock. These are reordered at the supplier.

  • In the meantime (depending on the delivery time of the supplier) and without the reservation function it could happen that 4 other items are no longer sufficiently available, because pixi always ships optionally what is in stock.

  • With reservation function the initially 95 available items are reserved and can't be used for any other customer order.

Reservations can be activated or deactivated separately for each payment method. The expiration time for reservations can also be set. This means that after a certain period of time, if the payment has not been received or the available stock is too small, the order will either be partially shipped or the reservation will be canceled.

Configuration

The module can be activated by pixi Support after the commissioning of pixi. For this we need the following information:

  • Which payment methods should be reserved automatically?

  • Should the orders that already exist in pixi be reserved as well?

  • After how many days should the reservations be canceled?

  • What should happen after the cancelation of reservations?


Reservation per Payment Method

The most important setting to be able to work with reservations in pixi * can be found in the Payment Methods table in the pixi Control Center > Tables tab:

  • Activating the Auto Reserve Stock setting defines that incoming orders of the respective payment method in pixi are handled as reserved orders.

  • The setting Reserve when status is changed can be activated to declare orders as reserved only when the status of an order changes: e.g. from HAL to ANG on receipt of payment.

  • In the Automatic Reservation Status field, you can explicitly name the statuses that should be reserved. If this setting is empty, it is automatically reserved for all statuses.

  • Autom. reservation after x days defines how many days and hours (even or decimal number with up to two positions after decimal point) after the order date, a reservation for an order with this payment type will be created in an overnight job for order candidates in status ANG, not HAL.

Just the settings in the payment methods table are sufficient to activate the reservations for the specific payment method. These are prioritized higher, however, you have no option to actively intervene without the activation of the reservation in the database settings in the process and the reservation order. On the other hand - without the setting in the table Payment methods, the reservation function has no effect.

Important: The date of the reservation is determined as follows:

  • If only the setting "Auto Reserve Stock" is activated for the payment method of the order, then the order date is always used as the date of the reservation, i.e. even if the reservation is subsequently removed and reset. This also applies if the setting is deactivated and the reservation has been manually set for the order.

  • If the order's payment method is additionally set to "Reserve when status is changed" then the date of the reservation will be the date of the first status change, i.e. if the reservation is subsequently manually removed and reset, the reservation date remains the same as the date of the first status change.

Additional Database Settings for Reservations

In the pixi Control Center under Database Settings > Reservations > "Enable reservations" you can activate the reservation module from pixi Support. In addition, various other settings are available:

  • HAL order active days: Defines for how many days order lines in status HAL are deducted from available inventory, which is exported to the shop and used to create picklists. Default value is 7 days, i. e. item(s) of a prepayment order will be deducted for 7 days from the available stock, even if the payment has not yet been received. This setting only works when the reservations are turned off.

    • Please note that the setting "HAL Orders Active in Days" (CSDShowHALDays) in the Customer Service folder defines the specified days for displaying the HAL quantity in the order lines. This means that you can control that only orders of the last 7 days for HAL are included for export to the shop; in Customer Service however, for example, the HAL orders of the last 30 days are displayed.

  • Don't remove ANG reservations: If this setting is activated, reservations for order lines in status ANG will not be removed, even if the number of days of validity (reservations, validity in days) has already expired.

  • Reservation Expiry Days: reservations are automatically canceled after the specified number of days. If this setting does not contain a value or is entered as the value "0", reservations are automatically deleted after 10 days.

  • Picklist - FiFo by Location: With this setting (pixi Control Center > Database Settings tab > Shipping folder), you can influence the order of reservation for shipping customer orders. (Starting with pixi LOU Update 28 and AVA Update 4). When this setting is enabled, reservations from other locations will be ignored during picklist creation. By default (setting OFF), reservations of customer orders are always independent of all locations, i.e. an older order on location 002 could prevent the shipment of a newer order on location 001, because there is not enough stock on location 001 to ship all reserved orders - even if there is enough stock for all 001 orders. This functionality can only be enabled by pixi support. More information: Creating a Picklist


Enabling the reservations in the database settings causes the following changes:

  • Instead of available stock, stock (res.) is exported to the shop.

  • Button in Customer Service for the manual addition / removal of reservations is activated.

pixi Web: Reservation and Prioritization of Orders

Reserve an Order

Follow the steps below to reserve an order.

  1. Open the detail page of the order.

  2. Reserve the order through More > Create Reservation.

  3. Confirm the action in the dialog box.

  4. The reservation was created.




Prioritize Reserved Orders

(pixi Web only)

In pixi Web you have the option to prioritize reserved orders on picklists. This allows you to get orders that need to be shipped faster than usual. On a picklist, prioritized orders are sorted by date. Partial orders and quantities are taken into account.

Please note: Orders in status HOLD can also be prioritized and thus prevent an order in status OPEN from being sent if the HOLD order was prioritized later than the order in OPEN.


Follow these steps to prioritize a reserved order.

  1. Open the order detail page.

  2. Prioritize the order by clicking the ! icon.

  3. Confirm the action in the dialog box.

  4. The order was prioritized.






Remove Priority

Follow these steps to remove the priority from an order.

  1. Open the order detail page.

  2. Remove the priority of the order by clicking the ! icon.

  3. Confirm the action in the dialog box.

  4. The order is no longer prioritized.




Reserved Orders (Item Details)

In the Item Details >Reservations tab you get an overview of the available item quantity for reservations. The order lines of the column Quantity are marked in color and show if the ordered item quantity is available or can be shipped:

  • Green: All ordered items are available. The available stock is greater or equal to the ordered quantity.

  • Yellow: Ordered items are only partially available. The available stock is smaller than the ordered quantity. The stock is greater than 0.

  • Red: Ordered items are not available. The stock for ordered items is 0. Example:

Calculation and Display of stock inventory in pixi Customer Service

  • Stock (Loc.): Displays the physical item quantity of the location you are currently connected to.

  • Stock (All) * : Displays the physical item quantity of all locations.

  • Avail. Stock (Loc.): Displays the item quantity in stock minus all open customer orders for the location you are currently connected to.

  • Avail. Stock (All) * : Displays the item quantity in stock minus all open customer orders for all locations. (from pixi 19.01 on)

  • Avail. Stock Res. (Loc): Displays the item quantity in stock minus reserved customer orders for the location you are currently connected to.

  • Avail. Stock Res. (All) * : Displays the item quantity in stock minus reserved customer orders for all locations. (from pixi 19.01 on)

  • Avail. Stock Order Line (Loc.): Displays the item quantity available for each order line according to the reservation priority for the location you are currently connected to. (from pixi AVA Update 3)

  • Avail Stock Order Line (All) * : Displays the item quantity available for each order line according to the reservation priority for all locations.

* Stock of special stock locations is not considered.

In this context, please note the setting HAL order active days in the pixi Control Center > Database Settings tab > Customer Service folder. This influences the calculation of the available stock for the display in the pixi Customer Service as well as the item info. As long as payment hasn't been received for the item, the number of items available in the warehouse will be reduced by the number ordered - but only as long as defined in this setting.


How is the Available Stock calculated?

(Available Stock) = (Stock) – (Total Number of Reservations)


Example: In this example, there are 6 orders in total, and accordingly, the available stock is equal to the physical stock minus the number of open orders: -2 = 4 - 6.

How is the Available Stock (Res.) calculated?

(Available Stock Reservations) = (Stock) – (Number of Reserved Items)


Example: For this example, there are no orders with reservation authorization, and accordingly, the available stock (res.) equals the physical stock: 4 = 4 - 0.

How is the Available Stock (Order Lines) calculated?

Starting with pixi AVA Update 3 a new column "Available Stock (Order Line)" has been added for order lines. This displays the exact stock level available for regular items, bundles, and individual items in the bundle, which is available for each order line. The value is calculated according to the FIFO approach and only displayed if reservations are activated and the order is reserved. Otherwise, the column is empty.

Available Stock (Order Line) = (Stock) – (Number of Reserved Items in Orders with Higher Reservation Priority)


Example:

  • Bundle "Bauchweggürtel Set" consisting of 4 individual items is ordered 1x. "Tragetasche für Aufladegerät für Akku für Bauchweggürtel 6 Pack" has a physical stock of 0 and is included in the amount 1 in the bundle. Since there is no further order for this item, the entire stock for this order line is available - the available stock (order line) is 0:


Note: If the database setting "Picklist - FiFo per Location" is activated, the available stock (order line) will be displayed according to this setting per location, i.e. only the still available inventory of the current location is taken into account in the calculation. See: Creating a Picklist

Color Scheme for Visualization of Availability

pixi visualizes the availability of the ordered items by color representation of the order lines and the order quantity column. The color scheme described below is only active when reservations are enabled.


Color Scheme of Column: Q (Order Quantity)

The color of the Q column indicates whether depending on the Avail. Stock Order Line (Loc.) column, the item can be shipped in the desired quantity:


Color scheme:

  • Green: All ordered items are available. The available stock is greater or equal to the ordered quantity.

  • Yellow: Ordered items are only partially available. The available stock is smaller than the ordered quantity. The stock is greater than 0.

  • Red: The ordered items are not available. The stock of ordered items is 0.


Meaning of the color scheme of order lines

Color of the complete order line is based on

  • the Stock (Loc.) of the respective item.


Color scheme:

  • Green: item is in stock. Stock is greater than 0.

  • Orange: The item is out of stock. The inventory is 0 and the reorder level is equal to or greater than 0, i.e. the item will be reordered with the next order suggestion.

  • Red: The item is out of stock. The inventory is 0 or less and the reorder level is negative - i. the item will not be reordered.


Special features in the color scheme for bundles

The display of bundles and items in the bundle (with the "treat bundle item as normal item" setting activated) follows these rules as of pixi AVA Update 3:

  • Order lines with Bundles always have a white background.

  • The availability of the individual items in the bundle is color coded according to the color scheme for normal items described above.
